Privacy policy
This policy explains what personal information eProjects collects, why we collect it, who we give it to and how you can access or correct it. We handle personal information in accordance with the Australian Privacy Principles set out in the Privacy Act 1988 (Cth).
Who this policy covers
eProjects is a New South Wales electrical contractor providing commercial and residential EV charging, solar, battery and electrical services. In this policy, "we", "us" and "our" mean eProjects.
This policy applies to personal information we collect through this website, through our enquiry and quote forms, by phone and email, and in the course of carrying out work at your site. It applies to customers, prospective customers, site occupants, suppliers and job applicants.
Personal information means information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether the information is true or not and whether it is recorded in a material form or not.
What we collect
We collect only what we need to quote, design, install and support the work you ask us to do. Depending on the job, that can include:
We do not seek sensitive information as defined in the Privacy Act. If sensitive information is needed for a specific reason, such as a site safety requirement, we will ask for it separately and explain why.
If you choose not to identify yourself
You can ask general questions without giving your name. We cannot provide a quote, lodge a network application or carry out work without enough information to identify you and the site.
How we collect it
Most information comes directly from you: through a form on this website, over the phone, by email, or in conversation during a site visit. Our web forms are provided by Pipedrive, our customer relationship system, and information you enter is stored there.
Sometimes we collect information from someone else, for example a builder, developer, building manager, strata committee, real estate agent or your electricity retailer, where they are arranging work on your behalf or on the property you occupy. Where we collect your information from a third party, we take reasonable steps to make sure you know we have it and why.
We may also receive information from a distribution network operator or a rebate scheme administrator in connection with an application we have lodged for you.
Why we use it
We use personal information for the purpose it was collected for and for directly related purposes you would reasonably expect. In practice that means:
If we want to use your information for something unrelated to the reason we collected it, we will ask you first, unless the law permits or requires the use without consent.
Who we disclose it to
We do not sell personal information. We disclose it only where it is needed to do the work or where the law requires it. Recipients can include:
Ausgrid, Endeavour Energy or the relevant distributor, for connection, embedded generation and supply upgrade applications.
The Clean Energy Regulator and agents who process small-scale technology certificates, and administrators of State rebate or loan schemes, where we claim on your behalf.
Licensed trades and accredited installers engaged on your job, who receive only what they need to do it.
Where equipment must be registered in your name, or for a warranty claim or safety notice.
Our customer relationship system, email and file hosting, accounting software, payment processors and IT support.
Our insurers, lawyers and accountants, where needed.
A builder, developer, building manager, strata committee, agent or landlord you have asked us to deal with.
A court, tribunal, regulator or authority, where disclosure is required or authorised by law.
Overseas disclosure
Some of the software we use to run the business stores data on servers outside Australia. Our customer relationship system, Pipedrive, and our email and file hosting are cloud services whose infrastructure may be located in the European Union, the United States or other countries.
Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles, including through the terms of our contracts with those providers.
Marketing and unsubscribing
If we send you commercial electronic messages, we do so in accordance with the Spam Act 2003 (Cth). Every message identifies us and includes a way to unsubscribe, and we action unsubscribe requests promptly.
You can opt out of marketing at any time by replying to any message, using the unsubscribe link, or contacting us using the details in section 12. Opting out of marketing does not stop messages we need to send about work in progress, warranties or safety.
We do not use your information to run automated profiling that produces decisions about you.
How we store and protect it
Personal information is held in our customer relationship system, our email and file storage, and our accounting software, all of which require individual login. Access is limited to the people who need it to do their job. Paper records, where they exist, are kept at our premises.
We take reasonable steps to protect information from misuse, interference, loss and unauthorised access, modification or disclosure. No system is completely secure, and information sent to us over the internet travels at your own risk until it reaches us.
Data breaches
If a data breach occurs that is likely to result in serious harm, we will assess it and notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme under the Privacy Act.
How long we keep it
We keep information for as long as we need it for the purpose it was collected, and for as long as we are required to keep it by law. Electrical compliance records, certificates, installation records and rebate claim documentation are kept for the periods set by NSW licensing requirements, the relevant scheme rules and our warranty obligations.
Enquiries that do not become jobs are kept while there is a reasonable prospect of the work proceeding, then deleted or de-identified. When information is no longer needed and we are not required to keep it, we destroy or de-identify it.
Access and correction
You can ask us for a copy of the personal information we hold about you, and you can ask us to correct anything that is inaccurate, out of date, incomplete, irrelevant or misleading. Contact us using the details in section 12.
We will ask you to verify your identity, and we will respond within a reasonable period, normally 30 days. There is no charge for making a request. If a request takes substantial work we may charge a reasonable cost for retrieving and copying records, and we will tell you the amount before proceeding.
If we refuse access or a correction, we will explain why in writing and tell you how to complain. In limited cases the Privacy Act allows us to refuse, for example where giving access would unreasonably affect another person’s privacy.
